I send quite a large amount of PMs to remind players that they're in a cup. Pretty much every weekend, I look at all the active cups, check for deadlines, send reminders if the deadline is within 2 weeks, if the deadline is within one week and if I see a cup that's close to the deadline, I also send them a PM.
Chelsea even requested I stop sending him these reminders ;D
If someone has a good reason for not being able to play (sickness, vacation, other private matters) and lets me know about that in time, I will always make exceptions. If I see one of the 2 players make a real effort in getting the games done, I award that player a free win (and if that means he/she gets a medal for free, then so be it :))
